Multimedia Guidelines

The Mainstage Theatre and Robb Hall Theatre have been equipped with computers specifically configured with the theatre projection and audio systems to provide the best quality audio-visuals. Our computers are equipped to play PowerPoint, Keynote, Google Slides, and a wide variety of media file formats. The following formats are preferred:

Presentation files:

  • .ppt
  • .pptx
  • .key

Any online presentation formats are also supported (Google Slides, Prezi, Office365, etc.)

Video files:

  • .mp4
  • .m4v
  • .mov

*Please do not use Windows Media Video files (.wmv)

Audio files:

  • .mp3
  • .wav
  • .aac

For events planned in the Black Box Theatre, you will need to bring your school-provided computer and HDMI-dongle to your event. A portable projector, screen, HDMI cable and audio connection will be set up prior to your arrival at the venue.

If a presenter would prefer to connect their device on-stage to control their own multimedia, that is fine. The stage connection is HDMI. Due to the variety of devices in use and the wide array of converter dongles needed for those devices, PRESENTERS MUST BRING THEIR OWN dongle enabling their device to connect to an HDMI cable. To allow us time to set up the video components necessary, please indicate on the Theatre Tech Request Form that you would prefer to connect your computer on stage.

Files Shared from Google

The advantage of using Google Slides for presentations is that the presentation file can be edited right up to the start of the presentation. The danger of using Google Slides is that media embedded from Drive needs to have sharing permissions set on a per-file basis. Forgetting to set these permissions means that media may not play back during an event due to access restrictions. To avoid this, please step through the following steps:

Step 1:

  • Create a folder in your Google Drive (please be sure that the folder name is identifiable to your event)

Step 2:

  • Place ALL files used in your event into the Google Drive folder. This includes all presentation files (regardless of file type), media files (regardless of file type), or other documents theatre staff may need to follow and support your event.

IMPORTANT - when embedding media into presentation files, be sure to embed media located in this folder as opposed to media located elsewhere in your Google Drive.

Step 3:

  • Set the sharing settings for the folder to "ON - Anyone at Seoul Foreign School with the link".

IMPORTANT - do not share folders and/or files with individual theatre staff members as support personnel may change due to illness, the global event schedule, or other reason.

Step 4:

Copy-and-paste the sharing link for the folder into the line indicated on the Theatre Tech Request Form.
