How to Book a Theatre

Booking a theatre facility is an easy process. The following theatre facilities require event planners to book using their school-provided Google Calendar:

To book a theatre facility, please follow the steps below:

Step 1:

  • Navigate to your personal SFS-provided Google Calendar ( and make sure that you are logged in to your account.

Step 2:

  • Create a new calendar event on your calendar and select "Edit event."

Step 3:

  • On the event page, you have the ability to add "Guests" and "Rooms" to your event (located on the right-hand side). To add a theatre facility:
      1. Click on "Rooms, etc."
      2. Type in or use the drop-down menu to find your desired facility
      3. Click "Add"


If the theatre facility is available on the date/time of the event you are creating, it will be available in the Rooms resource list.

If the theatre facility is not available, it will not appear in the Rooms resource list.

Step 4:

  • Be sure that your event is titled, and click "Save" at the top of the page.

Congratulations, you've booked a theatre facility!

Plans change?

Sometimes things happen and you need to change you plans - we understand! Making changes to your theatre facility booking is easy. You can edit the event on your Google Calendar (time changes, date changes, etc.) and the facility calendar will automatically update.


Do not assume that moving your event guarantees your access to the facility at the new date and time! If the theatre facility is not available at the new event date and time, it will appear in your event information with a strike-through. You will also receive an email saying that the Room resource has declined the invitation.

Access Guidelines

1. In an effort to ensure equal access across the school sections, all classes preparing for assemblies may book a maximum of three (3) hours of theatre rehearsal time prior to the performance or assembly. Rehearsal time in excess should be discussed with the Theatre Manager.

2. There are frequently many different events rehearsing in rotation. To best serve the needs of each individual event, we ask that users completely clear the stage of your belongings so that other groups can access the full stage without worrying about losing or damaging items for your event. This includes the stage wing areas. Storage of event supplies and materials can be arranged through the Theatre Manager.

3. You will receive an event confirmation email with link to the Theatre Tech Request Form from the Theatre Office about 1-week prior to your event booking. This is sent to the user who made the facility booking. If a Theatre Tech Request Form has been received, no confirmation email will be sent.

4. We have published - and will keep up to date - web pages on the Theatre Office website with facility information, event planning guides, and other resources to help you plan your event. These are available from the Resources & Guides webpage.
